NexusOps Privacy Policy

NexusOps is a private operations-management application for Civil Air Patrol (CAP) wings and their members. It is not a public service: access is limited to CAP members and individuals explicitly invited by an administrator. This policy explains what information NexusOps collects, how it is used, and how it is protected.
Information we collect
- CAP membership data. We import member records from CAP's official systems (CAPWATCH / eServices), including name, CAPID, unit, rank, qualifications, contact email and phone, and emergency contacts. We do not control the contents of CAPWATCH; correct it in eServices.
- Account information. Your NexusOps login credentials, authentication factors (e.g. passkeys, one-time codes), preferences such as time zone, and sign-in history.
- Information you provide. Data and files you submit while using the application — for example mission records, forms, receipts, and uploaded documents.
- Usage and technical data. Log entries, audit records of actions you take, IP address, and basic device/browser information used for security and troubleshooting.
Sign in with Google
If you choose "Sign in with Google," Google shares your verified email
address, name, and profile picture with NexusOps (the standard
openid, email, and profile scopes).
We use this information only to verify your identity and match it to your CAP
member or invited-guest record so we can sign you in. We do not access your
Gmail, contacts, Drive, or any other Google data, and we do not post
anything to your Google account. You can sign in with your CAPID and
password instead at any time.
How we use information
- To authenticate you and operate the application's features.
- To support CAP operations, reporting, and member administration.
- To send operational notifications by email or SMS when you opt in or when they are required for a duty or mission you are part of.
- To maintain security, prevent abuse, and keep an audit trail of changes.
We do not sell your personal information or use it for advertising.
How information is shared
Information is visible to authorized CAP personnel within the application according to their role and unit. We use a small number of service providers to run NexusOps — for example cloud hosting and storage (Amazon Web Services) and messaging delivery (Twilio for SMS/email) — who process data only on our behalf. We may disclose information when required by law or to protect the safety of members and the public.
Data retention
We retain information for as long as needed to operate NexusOps and to meet CAP record-keeping and legal obligations. Backups are retained on a rolling schedule and then deleted.
Security
We use industry-standard safeguards including encrypted connections (HTTPS), encryption of sensitive stored values, access controls by role, multi-factor authentication, and audit logging. No system is perfectly secure, but we work to protect your information and to respond promptly to incidents.
Your choices
You can update most contact details in CAP eServices, which flow into NexusOps at the next import. For questions about your data, access, or removal of an invited-guest account, contact us at the address below.
Children
NexusOps follows CAP policy regarding cadet members, who participate under the supervision of CAP and their parents or guardians. NexusOps is not directed to the general public or to children outside CAP membership.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by the "Last updated" date above.
